Introduction
The proposal is to move from existing systems for core business functions to Odoo ERP. The Operations Hub would provide an end to end project solution, migrating existing data and workflows into Odoo, with an ongoing service providing a range of solutions to meet the ongoing needs of the business. The proposal covers all aspects of project delivery.
Project Approach
Due to the existing tie in to Rapport 3 licenses, we would recommend a staged approach to migration to Odoo, concentrating initially on accounting and business administration whilst continuing to refine the custom Projects Hub app that will be provided within the solution. The proposal has been based on an initial period of approx 5 months during which all none project functions will be implemented.
Sage to Odoo Accounting
The accounting app within Odoo is one of the most comprehensive apps within the the platform and time would need to be taken to import existing data from Sage alongside configuring the system to meet individual requirements. This would include importing the complete chart of accounts, opening balances and providing support to Julia and Joy through the initial change and beyond. We would recommend either the the start of the financial year, or the start of a new VAT quarter as the best time to complete the change. The project scope currently does not allow for the import of historical accounting data into Odoo.
Administration
There are a number of apps within Odoo that help to streamline the overall efficiency of general business administration. We would develop a complete solution with Triangle at the outset of the project to define which apps specifically can be utilised to support and improve the administrative function.
HR
Similarly to general administration, there are a number of Odoo apps providing excellent functionality for HR processes. These include:
Training, staff onboarding, appraisals, time off management, expense management, and more. We would work with Triangle to define the apps required at the start of the project.
Data to SharePoint
Whilst not specifically linked to an Odoo project, we would recommend the migration of existing server data to SharePoint during the initial project period (prior to going live with Projects). This will allow us to move towards decommissioning the server in future and prepares the data environment for full integration to Odoo when Projects are being managed through the system.
Projects
Migrating from the existing system/s for Projects will provide the greatest improvement in efficiency across the business. We have created a custom module specifically built around Triangle's existing end to end project process, and will continue to develop this further to the point when we are able to go live with Projects.
Summary
As mentioned during conversations to date with Triangle, I beleive implementing Odoo would provide huge benefits to Triangle even in a standard configuration. What we are proposing however is much greater in terms of capability - a custom built Architecture Practice solution designed specifically to your business requirements. It can be hard to grasp the full scope of Odoo before starting to use the system. Odoo is is completely unique in the ERP space at present, an open source system with the ability for developers to create custom solutions on a platform that is completely future proof, supported and upgrade safe.
